Indra Boosts Its Productivity with Microsoft 365 Copilot and Shapes Its Future with Generative AI

More than 3,000 employees are already using the tool, with an 80% adoption rate and tangible efficiency improvements.

Indra Group, one of the major multinational technology companies with a presence in over 140 countries, has taken a significant step toward digital transformation by widely deploying Microsoft 365 Copilot among its staff. This generative AI solution is now part of the daily work for more than 3,000 professionals, with an adoption level exceeding 80%.

Thanks to a strategic partnership with Microsoft, the rollout was completed in record time, enabling Indra teams—and its subsidiary Minsait—to save time, improve work quality, and boost productivity in demanding sectors like defense, space, and digital services for public administrations.

“From the very beginning, we aimed to integrate Artificial Intelligence into our teams’ daily work,” explains Luis Navarrete, CIO of Indra Group.

Generative AI integrated into the core of daily operations

The choice of Microsoft 365 Copilot is due to its seamless integration with existing tools in Indra’s ecosystem: Word, Excel, PowerPoint, Outlook, and OneDrive, among others. It also offers robust data security and governance features, crucial for highly regulated sectors.

Indra has also developed its own customized AI agent, the M365 Copilot Helper, built with Agent Builder technology. This assistant guides new users through their initial steps, resolving doubts and facilitating adoption.

“We chose Microsoft 365 Copilot for its scalability and ability to generate real impact without compromising security,” states Julia Martos, Director of Information Systems Technology at the group.

A scaled adoption model

The success of the program, led by Carmen Bauset Carbonell, is based on a structured methodology built around four pillars:

  • Customized training, with materials designed in partnership with Microsoft.
  • An internal champion network acting as change catalysts.
  • Cross-functional use cases, from generating reports to automating tasks in Excel.
  • Direct communication with key teams, aligning AI initiatives with business objectives.

Results quickly became evident: a 5% overall productivity improvement, a 90% reduction in repetitive tasks in areas like tenders and proposals, and roughly two hours saved per employee each week—potentially tripling over time.

AI serving efficiency, culture, and innovation

Beyond metrics, the deployment has driven a deep cultural change. Teams in key areas such as Mobility and Social Services are already applying Copilot to improve requirements traceability, generate multilingual content, and streamline document management.

Cases like the Administrative Bid Office Mobility or the Business Development area at Minsait show how AI has allowed teams to focus more on strategy and innovation, freeing them from routine processes.

Additionally, the platform has served as a testing ground for developing new intelligent agents, enabling seamless integration between AI and business productivity.

Towards international expansion

Indra Group is already planning to onboard 1,500 new users globally and expand Copilot Chat throughout the organization. Meanwhile, Minsait—recognized as Microsoft Spain Partner of the Year 2024—is replicating this model in public administrations and private companies worldwide.

The collaboration with Microsoft also targets developing Agentic solutions, combining generative AI, automation, and custom development with tools like Copilot Studio and Copilot Chat.

A commitment to talent and sustainability

With revenues of €4.843 billion in 2024 and a presence in over 140 countries, Indra Group emphasizes innovation centered on people, sustainability, and efficiency. The integration of AI is not just a technological matter but a strategic one, reflecting a clear commitment to the future of work.

“This project strengthens our commitment to co-innovation with Microsoft and to AI that delivers real value to the company,” state the group’s leadership.
